SolmOne is a technology by Solm Systems Ltd ("we", "us", "our"). This policy explains how we handle your data under UK GDPR and the Data Protection Act 2018.

We process your personal data on the basis of your consent, which you provide when you create an account and accept this policy. You can withdraw consent at any time by deleting your account.

For anonymised aggregate research participation, we rely on consent given as part of using SolmOne. Deeper research participation, where you opt in to specific studies or contribute additional categories of de-identified data, relies on separate explicit consent that you can adjust or withdraw at any time from your account settings.

Your data is held primarily so SolmOne can read your patterns back to you and so you can return to your own record over time.

By aggregate we mean pooled patterns across thousands of users, with identifying information removed. Your name, email, postcode, date of birth, and account identity are never shared with researchers or third parties. Your individual entries are not read by humans for research purposes.

We do not sell your data. We do not share your data with advertisers, insurers, or other third parties.

6. Data Storage and Security

Your data is stored in a PostgreSQL database. Uploaded images are stored in cloud object storage. All data is associated with your account and is not accessible to other users.

We use encryption at rest and in transit. Authentication is required for all access. We use the security practices appropriate for an early-stage platform handling sensitive personal data. As the company grows, we will invest in stronger technical privacy infrastructure, including on-device processing of entries so text-level data does not leave your phone, separated data architectures for product and research data, and additional safeguards. We will update this policy when those protections come into place.

7. International Transfers

Some of our third-party services, including Anthropic, are based outside the UK. Where data is transferred internationally, we ensure appropriate safeguards are in place under UK GDPR rules, including standard contractual clauses where required.

8. Data Retention

Your data is retained for as long as your account exists. You may delete individual entries at any time through the app. You may delete your entire account and all associated data from the Account screen, with the exception of anonymised aggregate data that has already been pooled into research analyses, which cannot be retroactively removed because it is no longer linked to your individual record.

Backups are retained for 30 days after deletion, after which the data is irrecoverable.

10. Children's Privacy

SolmOne is not intended for use by anyone under the age of 16. We do not knowingly collect data from people under 16. If we become aware that we have collected data from someone under 16, we will delete it.

We may update this privacy policy as the platform and its data architecture evolve. Substantive changes will be communicated to active users by email or in-app notification. The "Last updated" date at the top of this policy reflects the most recent revision.
